THE SHORT ANSWER

Tell AI who you are writing to, what happened and what outcome you want. Supply confirmed facts and ask for a subject line plus a draft you can check.

An email prompt works best when it gives the model enough context to choose the right tone without inventing details. Decide whether you need a friendly reply, a concise update or a firm boundary.

A practical workflow.

  1. State the purpose

Name the recipient’s role and the action you want. “Ask for the missing invoice number” is clearer than “write a business email.”

  2. Supply the facts

Include dates, agreements and relevant wording from the original message. Remove private details you do not need for the task. Label anything that has not been confirmed.

  3. Set tone and length

Ask for a specific tone and a useful length limit. If the situation is sensitive, ask for two alternatives and compare what each implies.

  4. Check before sending

Review names, dates, attachments and commitments. Remove claims you cannot confirm and make the final wording sound like you.

Email workflow: set the purpose, add confirmed facts, draft the message, then check it.

READY TO MAKE YOURS

Start with this prompt.

Draft an email to [recipient] about [situation]. My goal is [outcome] and the confirmed facts are [facts]. Use a [tone] tone and stay within [word count] words. Ask for essential missing details. Do not invent dates, promises, approvals or attachments. Return a subject line, draft and a short checklist of details to verify before sending.

Replace the brackets. Leave out private details. Check the response.

ILLUSTRATIVE EXAMPLE

A clearer request.

A VAGUE STARTWrite a follow-up email.

A CLEARER BRIEFDraft a friendly email asking a colleague for the project notes before our Tuesday meeting. Keep it under 80 words. Do not invent an attachment or imply they already agreed.

The purpose, context and limits are explicit.

Before you use the result.

  • The subject line matches the request.
  • Names and dates are correct.
  • No invented attachments or commitments.
  • The next action is clear.

A few useful answers.

Can I paste a confidential email?

Use only information you are permitted to share. Replace sensitive names and details with placeholders where they are not needed.

How do I make the tone firmer?

Name the boundary and the action you need, then ask for calm, direct language without threats or invented policies.

PUT THE GUIDE TO WORK

Emails for the situations you actually face

A polite email can still leave the other person guessing. Choose the situation below, supply the facts, and make the next action easy to spot. These templates help you draft the message; you decide what you can promise.

How to use ChatGPT to write emails that ask for the right action

Before drafting, decide what the recipient needs to know and what you want them to do next. Include the relationship, the relevant facts and any agreed deadline. Ask for a draft from those notes, then verify names, dates and commitments yourself. The tool helps with wording; it does not send the email or confirm what another person has agreed.

Keep one request easy to find

A useful email often gives brief context, makes the request and explains the next step. If there are several decisions, number them so the recipient can answer each one. Read the draft as the recipient: could they tell what to do without opening a second message? Remove unnecessary background before adding a more formal tone.

Open a card, copy the prompt and replace the brackets with your own details. Each card includes a follow-up and a check before you use the answer.

SITUATION 01

Ask for a missing input

Get one specific detail without sending a vague reminder. Open the prompt

Have these readythe missing item · why you need it · your real deadline

Draft an email asking [recipient] for [missing item]. I need it to complete [task]. My actual deadline is [deadline], and they have not agreed to a delivery time. Keep the request under 100 words. Explain the dependency without blaming them, ask when they can send it, and give me a subject line. Do not invent previous reminders or an agreement.

Open ChatGPT ↗

Refine the next draft
Remove any sentence that implies the recipient already promised a date. Keep one clear request and a friendly closing.

Before you use it
Check the deadline and the item name. Asking for a reply by a date is different from claiming that date was agreed.

SITUATION 02

Explain a delay

Tell someone what changed and what happens next. Open the prompt

Have these readythe confirmed delay · what is finished · the next realistic update

Help me explain a delay in [deliverable]. The confirmed reason is [reason]. Completed work: [completed work]. Still pending: [pending work]. I can next update the recipient at [confirmed update time]. Write a concise, accountable email. Separate a confirmed delivery date from a provisional estimate. Do not promise a discount, refund, approval or completion date I have not supplied.

Open ChatGPT ↗

Refine the next draft
Give me a shorter version that keeps the impact, the next step and the confirmed update time.

Before you use it
If the final delivery date is unknown, say so. Avoid replacing an honest update with an optimistic promise.

SITUATION 03

Set a calm boundary

Decline an extra request while keeping the conversation useful. Open the prompt

Have these readywhat was requested · your actual limit · an option you can offer

Draft a calm reply to this request: [request]. I cannot do [limit] because [brief explanation I am comfortable sharing]. I can offer [real alternative], if any. Use direct, respectful language and no invented company policy. Keep it under 120 words. Make it clear whether I am declining, postponing or asking to renegotiate.

Open ChatGPT ↗

Refine the next draft
Make the opening less apologetic. Preserve the boundary and remove any alternative I did not explicitly offer.

Before you use it
An alternative is still a commitment. Check that you can deliver it before sending.

SITUATION 04

Follow up after silence

Restart a conversation without inventing urgency. Open the prompt

Have these readythe original request · when you sent it · whether there is a real deadline

Write one follow-up to an email sent on [date] about [request]. I have received no reply. The real deadline is [deadline or none]. Keep it under 80 words. Restate the specific question and make a brief reply easy. Do not imply the recipient ignored me deliberately or add a fake deadline.

Open ChatGPT ↗

Refine the next draft
Offer two versions: a warm reminder and a more direct reminder. Explain the difference in one sentence.

Before you use it
Use the actual thread when possible. Remove repeated background the recipient can already read.

The examples below are original, illustrative edits using fictional situations. They show the checks to make, rather than promising what an AI tool will produce.

WORKED EXAMPLE

A reminder that earns a useful answer

Fictional scenario: Mia needs Sam's project notes for a Tuesday planning meeting. Sam has not promised a delivery date.

FIRST DRAFTSubject: Urgent project notes
Hi Sam, as agreed, please send the notes by Monday morning. We cannot move forward without them. Thanks, Mia.

AFTER CHECKINGSubject: Project notes for Tuesday's meeting
Hi Sam, could you send the project notes before Tuesday's planning meeting? I need them to prepare the agenda. If that timing is difficult, please let me know when they will be ready. Thanks, Mia.

What changed
The first version invents an agreement and uses urgency the brief did not establish. The edited version gives a reason, makes one request and leaves room for an honest timing answer. Before sending, Mia still needs to check the meeting date and which notes she means.

WORKED EXAMPLE

A delay update without a made-up promise

Fictional scenario: a report is waiting for one missing figure. The writer can send a progress update Thursday at 3 pm but cannot confirm final delivery.

FIRST DRAFTHi Alex, sorry for the delay. The report will definitely be ready Thursday. Everything else is done.

AFTER CHECKINGHi Alex, the report is waiting on the final sales figure. The other sections are drafted, but I cannot confirm the final delivery time yet. I will send a progress update Thursday at 3 pm. Thanks for your patience.

What changed
An update time is not a completion time. The revision preserves the confirmed commitment and explains the blocker without exaggerating the state of the report. If the figure arrives sooner, the writer can update the plan separately.

Try it with your own task.

Once the draft is clear, read it aloud. If a sentence sounds like something you would never say, shorten it before you press send.

Use a small workflow that you can repeat.

  1. Choose the decision or action the output should support.
  2. Remove confidential details and provide the approved source material.
  3. Ask for a draft with uncertainties separated from confirmed facts.
  4. Review owners, dates, calculations and commitments before sharing or acting.

Keep in mind: Do not paste client secrets, credentials or restricted internal documents. A clear-looking table does not make its numbers or ownership assignments correct.

A difficult email without friction

Be direct while keeping the relationship workable. You get: Two email drafts and a subject line

COPY. PERSONALISE. CHECK.

Bring: recipient role, issue, facts, action

Draft an email to [recipient role] about [issue]. Confirmed facts: [facts]. The action I need is [action] by [date, if agreed]. My boundary is [boundary] and my preferred tone is [tone]. Give a clear subject and two drafts: warm and direct. Do not invent promises, policies, blame or deadlines. Highlight any sentence that creates a commitment I should approve.

Example input
A colleague needs to send missing figures before an already-agreed review meeting.

Illustrative scenario, not a generated or verified AI result.

Then ask
Keep the direct version under 100 words and make the requested action unmistakable.

Before using the answer
Check tone, facts and whether the deadline was actually agreed.
