Keep a job-application tracker that helps you act

QUICK REFERENCE

An application tracker should tell you what happened and what needs attention next. Keep the role, source link, application version and confirmed communication in one place. Separate an employer’s stated next step from a date you chose for your own review.

A person arranging three application folders on a desk.

When to use this

Use this when several applications or conversations are active at once. A simple table is enough; avoid collecting information you do not need.

Know these three terms

Application state

What has actually happened, such as submitted or interview scheduled.

Next action

Something you can do, request or prepare.

Review date

Your reminder to inspect the record, not a promise from the employer.

A practical way to do it

Record the role accurately

Save the role title, organisation, original listing link and the date you accessed it. Keep the version of your application materials so you can prepare for a conversation using what you actually submitted.

Separate fact from expectation

Record confirmed messages and dates. If a listing closes without further information, do not infer rejection or selection. Use a neutral state such as “no further response recorded” until you have a confirmed update.

Make the next action specific

A next action might be preparing an example, replying to an invitation or reviewing the record. Follow the employer’s stated application instructions. Keep your reminder separate from any actual interview or submission deadline.

A small example

Fictional example: Dana applies for two coordinator roles. One employer confirms receipt; the other schedules a call. The tracker keeps those states separate and records the agreed call time only for the second role. Dana’s own Friday review reminder is not described as either employer’s response deadline.

Check before moving on

  • States reflect actual events rather than assumptions.
  • Confirmed dates are separate from personal reminders.
  • Application versions can be found when preparing.
  • The tracker avoids unnecessary sensitive personal or contact information.

Common questions

Should I record a probability of getting the role?

Only use a personal estimate if it helps a decision and keep it labelled as an estimate. A tracker cannot infer the employer’s assessment from a delayed reply or a single interaction.

Can AI maintain the tracker?

You can ask it to format a small, non-sensitive record you provide. Do not assume it has checked your inbox, submitted an application or sent a follow-up unless the tool actually performed that action and you verified it.
